University Planner is a study planner for university students. This policy describes what the app actually stores, where it is stored, and which other companies see any of it. It is written to match how the software behaves rather than to describe an ideal, and it includes the parts that are inconvenient to say.

The short version. Your planner is stored in Australia. There is no advertising, no tracking and no analytics of any kind, and nothing is sold or shared for marketing. The AI features are the only part that sends anything overseas, and only when you choose to use them: a lecture you record, a piece of text you paste in or have already written, or photos of pages you are studying. A recording is deleted as soon as it has been transcribed, and text and photos you supply are never stored at all. You can delete your account and everything in it at any time.

What we collect

If you use the app without an account

Nothing reaches us. Everything you type is stored in your own browser or device and never leaves it. You can use the whole planner this way.

Your account

Creating an account stores your email address and a securely hashed password, handled by our authentication provider. We never see your password. Accounts also carry a plan level (free or ai) and the date the account was created.

Your planner

Once you have an account, your planner syncs so it follows you between devices. That is a single record holding what you have entered: courses, assignments, to-dos, readings, calendar events, notes, study cards, assessment marks and your study statistics.

One thing is stored beside it rather than inside it. The full text of a saved AI lecture note — the summary and any translation — is kept in a separate record, because those notes are large and the planner is sent in full every time it syncs. Your planner keeps the note's title, its course and week, and the first line or so for the list. It is the same data, held by us in the same place under the same protections, and it is yours on the same terms: it stays until you delete the note or delete your account. We mention it only because saying “your planner holds everything you write” would no longer be exactly true.

An archived semester is stored the same way. When you archive a finished semester, everything in it — the same kinds of content listed above — moves into its own record in your account so it stops taking up space on your devices. It is held by us in the same place under the same protections, and it is yours on the same terms: it stays until you restore it or delete it, and it is deleted with your account.

When the app itself breaks, it sends us an error report so we can fix the problem: the technical error message, where in our code it happened, which version of the app you were on, which screen you were on, and your browser version. An error report never contains what you have written — no notes, no recordings, no email address. Reports are capped and sent only when something actually goes wrong; if you are not signed in, the report is not linked to any account. Error reports linked to your account are deleted with it.

AI features

All of these are optional, and none of them runs unless you choose it. You accept a separate consent screen before using any of them.

AI lecture notes. Records audio of a lecture, has it transcribed, and turns the transcript into structured notes.
AI features that work on text or photos you supply. Some features send what you give them — a note you wrote, your study cards, an explanation you have typed, a section of a reading you paste in, or photos of pages you are studying — so the AI can summarise it, generate practice questions from it, or tell you what your explanation missed. It does not matter where it came from: it is relayed to the AI to do the thing you asked and is not stored by us, not in your planner and not on our server. Only the result is saved, and only if you save it. No audio is involved, and nothing is sent unless you ask for it on that piece of work.

We record how much of your monthly AI allowance you have used, so it can be enforced. That is a running total, not a record of what you asked for.

The three things AI notes creates, and how long each lasts

These have genuinely different lifetimes, and conflating them would be misleading, so they are set out separately.

Worth being explicit about. That second row means a complete second copy of every transcript and every generated summary sits on our server for 7 or 30 days, even though you think of the notes as living in your planner. It exists so a failed or interrupted recording can be recovered, and it is deleted automatically on the schedule above.

Where your data is stored

Your account, your planner, your saved AI lecture notes and our temporary copy of any AI notes are stored with Supabase in Sydney, Australia (ap-southeast-2). For an Australian student that is the answer to the question most people mean: your notes are held in Australia, under Australian law.

Storage is not the same as processing, and we would rather say so than let the sentence above imply otherwise. Two things do leave the country:

The AI features send two kinds of thing overseas. If you record a lecture, your recording goes to a transcription service and the resulting transcript text goes to a summarisation service. If you use an AI feature on text or photos you supply, what you chose — a note, some study cards, an explanation you typed, a section of a reading you pasted in, or photos of pages you are studying — goes to the same summarisation service. It is relayed and not retained: unlike a lecture, where we keep the transcript for a short window so you can get it back, text and photos you supply have no server-side copy at any point.

Both services are operated by companies based in the United States, and every request is made from our server rather than from your device. Nothing else in the app is sent overseas, and none of it happens unless you use an AI feature.

What the app keeps on your device

Two things, both stored by your browser or the app itself, and neither of them sent anywhere except as described above.

A copy of your planner. This is what lets the app work offline and before you have an account at all. Signing out leaves it in place deliberately — it is your planner, and it is the same copy someone using the app without an account has.
Lecture notes you have opened, kept for offline reading. Because the full text of a saved lecture note is no longer carried around inside your planner, notes you have opened are kept on the device so they still work on a train or in a building with no signal. This is cleared when you sign out, and when you delete your account. Unlike the planner copy, it is not left behind on a shared or family computer.

Neither is a tracking mechanism, neither is readable by any other website, and clearing your browser's data for this site removes both.

Who else sees your data

We may change transcription provider — Deepgram (United States) is the configured alternative and would receive exactly the same audio for the same purpose. This policy will be updated if the provider in use changes.

Account emails, such as confirming your address or resetting your password, are sent through our authentication provider's email service.

What we never do

No advertising and no ad networks.
No analytics and no tracking of any kind. There is no Google Analytics, no tracking pixel, no third-party script and no behavioural logging in the app. The only server the app itself contacts is our own.
No selling or sharing your data with anyone for marketing.
No reading your notes for training. We do not use your content to train AI models, and text sent to an AI feature is sent to answer that one request — it is not kept by us afterwards beyond what the table above describes.

Two things about security you should know

Both of these are true, neither is obvious from using the app, and we would rather you learned them here than assumed otherwise.

Your planner is not end-to-end encrypted. It is protected in transit and access is restricted so that no other user can read it, but it is stored in a form that someone with administrative access to the database could read. If something is sensitive enough that this matters to you, it does not belong in a study planner.
The offline demo mode does not check passwords. If the app is running without a server connection, the sign-in screen accepts any password, because there is nowhere secure on your own device to check one. That mode stores everything locally and syncs nothing. It is there so the app works before an account exists, and it should not be treated as securing anything.

Your choices and your rights

See your data. Everything the app holds about you is visible in the app.
Export it. The Account tab has a backup button that downloads your whole planner as a file you keep.
Correct it. Everything is editable in the app.
Delete it. Account → Delete account, or see how to delete your account.
Ask us anything. privacy@uniplannerapp.com. If you are not satisfied with our response you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Children

University Planner is intended for university students. It is not directed at children, it does not ask for your age, and nothing in it behaves differently depending on how old you are. We do not knowingly collect information from anyone under 13. If you believe a child has created an account, email us and we will delete it.

Changes to this policy

If this policy changes materially, the date at the top changes and — where the change affects AI lecture notes — you will be asked to read and accept the updated consent wording before recording again.
